Policies and Procedures

1. PURPOSE

Women’s Club of Powell “WCP” is a social organization and shall be operated exclusively for promoting friendship and fellowship among members and to inform, support and create opportunities for organized interests of the group with the common objective of enjoyment, recreation and other nonprofit purposes. 

2. NON-DISCRIMINATION

The WCP does not and shall not discriminate based on race, color, religion, gender, gender expression, age, national origin, disability, marital status, sexual orientation or military status in any of its activities or operations. These activities include selection of volunteers, venues, vendors and provision of services.

3. MEMBERSHIP

Open to interested women from the Powell, Ohio, ZIP code and surrounding areas.  Membership shall be accomplished by completing a Membership Registration form accompanied by dues and sending them to the Treasurer. Renewing members shall be responsible for registering and paying annual dues no later than September 1. Unpaid dues will result in forfeiture of membership and the member’s name being removed from the Membership Roster.

4. MEMBERSHIP DIRECTORY AND DATABASES

Members will be provided with a Program Directory Handbook and Membership Roster delivered by electronic transmission.

Members’ personal information contained therein and/or other Membership databases are to be used solely for the purpose of communication and member needs and may not be used for commercial or solicitation purposes by members, speakers, guests or vendors. 

5. DUES

Annual WCP dues are reviewed, changed and voted upon by the Board of Directors. Dues are neither prorated for partial years nor refundable in the event a member withdraws her membership.

6. MEETINGS

a) Parliamentary Procedures – Robert’s Rules of Order will be the authority for the rules for conducting business and maintaining the rights of the members if not provided for in the Bylaws of Women’s Club of Powell.

b) General Meetings are held on the second Monday of the month, September through May at 7 p.m. unless otherwise designated by the Board. Special events may be held on an alternate day. The May meeting shall include installation of officers. 

c) Board of Directors meets the first week of the month throughout the year unless otherwise designated by the President. 

d) Only presenters solicited by a representative of the Board of Directors will speak at WCP general meetings

7. INTEREST GROUPS

The purpose of the Interest Groups shall be in accordance with the objectives of WCP and governed by the Bylaws. Participation in these groups is limited to paid members. New Interest Groups shall be formed by member(s)’ request to the board of directors with the names of no fewer than eight members who are interested in joining. Each Interest Group is financially independent

8. GUESTS

WCP Hostess Program welcomes guests to the General Meetings. Guests may attend two General Meetings and/or one Interest Group event before becoming a member. Invited guests accompanied by a WCP member may attend the special events. 

9. EMERGENCY ACTION

In the event of a threatening emergency during WCP meetings and events, all guests and members will be directed to the designated safe area of the meeting venue. For medical emergencies, appropriate first responders will be contacted.

10. FUNDRAISING

Members, interest groups, and the Board of Directors may support outside organizations and community fundraising efforts through activities and special initiatives of Women’s Club of Powell.

11. JOYS AND CONCERNS

With the Women’s Club of Powell’s (WCP) sizeable membership, joyous and sad life events shall occur. WCP will make an effort to communicate with members and their families affected by life events in the following manner:

• When a member or immediate family member is celebrating a joyous or sad occasion, or has been injured or is in the hospital, or when a member of a member’s immediate family passes away, the Joys and Concerns (J&C) representative will gather pertinent information, send an appropriate card and, with the member’s permission, the information will be published in the WCP newsletter. 

• When a member passes away – The J&C representative or designated Director will gather pertinent information and send flowers and a sympathy card to the member’s family. The Membership Chair or designated Director will send an email to the membership with known details and guidance for well-wishers. The information will be published in the WCP newsletter. 

• When other tragic events occur – accident, fire, robbery, etc. – The J&C rep will send a note of encouragement and learn if support is needed. With the member’s consent, the Membership Chair or designated Director will communicate needs and instructions to membership.

NOTE: Immediate family members may include spouse, partner, mother, father, child, brother, sister, a relative or special friend who shares in the loss. It is important that members hearing of another member experiencing any life events contact the J&C rep as soon as possible.

12. SOLICITING 

Unless approved by the WCP Board, WCP members and any guests are prohibited from soliciting business whether for financial benefit, personal profit, public profit, nonprofit, charity, or any other purpose, by written or verbal communication, at any WCP meeting, WCP event, WCP activity or on any WCP website or WCP social network site.
